For personal trainers and coaches
Client check-in messages that get a reply.
Ten WhatsApp messages for the moments clients drift: quiet days, missed sessions, weekends, travel and coming back. Copy, change the name, send.
Three rules that make check-ins work
- Short. Two or three lines. A wall of text gets left on read.
- One question. Something they can answer in one line from the bus.
- No guilt. People who feel judged go quiet for good. Make it easy to come back.
1. Quiet for two days
They haven’t logged or replied since the weekend.
Hi [Name], [Coach] here. Just checking in, how is today going? A quick photo of your next meal helps me support you.
2. Quiet for a week
A week of silence. Keep the door open; no lecture.
Hi [Name], I noticed it’s been a quiet week. No stress, life happens. What’s one small thing we can get back to this week: a walk, a logged breakfast, anything?
3. Missed a session
They skipped a booked session without a message.
Hi [Name], missed you today. Everything okay? Let me know a day this week that works and I’ll hold it for you.
4. Good week
They logged most days or hit a target. Say it.
Hi [Name], you logged 5 of 7 days this week and hit your protein three times. That’s the habit that gets results. Keep it going.
5. Protein running low
Their logs show protein well under target for a few days.
Hi [Name], your protein has been a bit low this week. Easy fix: add eggs, beans, fish or chicken to one meal a day. Which meal is easiest for you?
6. Before the weekend
Friday afternoon, when plans slip most.
Hi [Name], weekend’s here. One plan for Saturday: what’s the meal most likely to go off track, and what will you do instead? Reply with one line.
7. Travelling or away
They told you they’ll be travelling or at a function.
Hi [Name], enjoy the trip. No tracking needed: just aim for one plate of protein and vegetables a day, and a walk. We pick up where we left off when you’re back.
8. Weigh-in day
The morning of their weekly check.
Hi [Name], weigh-in morning. Same time, same scale, before breakfast. Send me the number and one line on how the week felt.
9. Coming back after a break
They’ve been off for a few weeks. No guilt.
Hi [Name], good to have you back. Forget the weeks off; we start from today. First step: one logged meal and a 20-minute walk. Deal?
10. Month end
A few days before their month with you ends.
Hi [Name], your month with me ends on [date]. Here’s what changed: [one result]. Shall I pencil you in for next month? Reply yes and I’ll sort it.
Know who needs one
The hard part isn’t the message, it’s noticing who went quiet while you’re on the gym floor. Nutrio shows you each morning which clients logged a meal and who didn’t, and opens WhatsApp with the first message above already written. See how it works for trainers.
